Save time and increase efficiency by automating your email notifications. These email notifications are customizable - you can use the default ones we provide or compose your own. You can also use placeholders to add dynamic content and personalize your notifications.


You can access email notifications through Admin>Productivity>Email Notifications


Here's a list of email notifications and templates:


Employee notifications
Use
New job posting created
To notify a specific employee(s) when a new "Job Posting" is created.
Job assigned
To notify the recruiter/ hiring manager/ panel member about the assigned "Job Posting".
Job status changed
To notify the recruiter, hiring manager, panel members and stakeholders about the "Job Posting" status change.
New panel member added
To notify the recruiter and hiring manager about the new panel member addition.
Panel member removed
To notify the recruiter and hiring manager about the new panel member removal.


Candidates notifications
Use
New candidate applied
To notify the recruiter, hiring manager and panel members about a new application

Employee pursued a job posting as career
To notify the employee's reporting manager, the recruiter, and the hiring manager when an employee wants to pursue a job posting as a career.

New referral candidate added
To notify the recruiter, hiring manager and other important stakeholders, when an employee refers a candidate to a job posting.

New email application request created
To notify stakeholders about a new application received over an email. (notification will be triggered to a set of members who are responsible for categorizing the newly received application via email, since these will not have any job posting associated by default)


Interview notifications
What it is used for
Interview scheduled - To hiring manager
To notify hiring manager about the scheduled interview.
Interview scheduled - To interviewers
To notify the interviewers about the scheduled interview.
Interview cancelled - To interviewers
To notify the interviewers about the interview cancellation.
Interview feedback submission overdue
To notify the interviewers to submit an interview feedback.
Interview feedback submitted
To notify the recruiter and hiring manager about feedback submitted by the interviewer.


Offer related notifications What it is used for
Candidate offered
To notify the recruiters, job posting's hiring manager and other stake holders, when a job offer is made to a candidate.
Candidate accepted the offer
To notify the recruiters, job posting's hiring manager and other stake holders, when a candidate accepts the offer.
Candidate declined the offer
To notify the recruiters, job posting's hiring manager and other stake holders, when a candidate declines the offer.


Conversations related notifications
What it is used for
Candidate/ Email applicant responded - To Recruiter
To notify the recruiter when a candidate responds to an email conversation
Private comment added
To notify the mentioned employee, when an another member wants to communicate in private.
New public comments posted
To notify the recruiter, hiring manager and panel member, when a comment is added to a candidate.


Employee Referrals related notifications
What it is used for
Candidate referral - acknowledgment
To acknowledge an employee, when he/she refers a candidate.
Referral candidate status updated
To notify the employee, when a referred candidate's status is changed.


Candidate Notifications
What it is used for
Application Acknowledgement
To notify a candidate that the application has been submitted successfully.
Email candidate requests acknowledgement
To notify a candidate that the application was received successfully.
Candidate shortlisted
To notify a candidate that his/her profile has been shortlisted for the job posting.
Candidate Archived to Talent Pool
To notify a candidate that the applied job posting is filled but he/she will be notified when there is a similar posting comes up again.


Note: Unlike Email Notifications which gets triggered to the respective recipient, Notification Templates are loaded automatically into the email compose area when a specific event happens. The recruiter/ user can choose to edit the content before sending or send it as it is.


Notification Templates
What it is used for
Interview Schedule
This template will be loaded when a recruiter is sending out an interview schedule to the candidate.
Offer covering letter
This template will be loaded as the offer covering letter when a recruiter wants to send an offer letter.
Archive to talent pool
This template will be loaded when a recruiter archives a candidate to talent pool.
Reject
This template will be loaded when a recruiter wants to send an email about a candidates' rejection.
Move to Job
This template will be loaded when a recruiter wants to notify a candidate about moving them to a different job.


Task Notifications
What it is used for
New Task Assigned - To Assignee
To notify the assignee about an assigned task
Task Reminder - To Assignee
To notify the assignee when a task is about to expire.
Task Overdue - To Creator/ Assignee
To notify the creator and the assignee when a task is overdue.
Task Updated - To Assignee
To notify the assignee when a task is modified by the creator.
 Task Completed - To Creator To notify the creator when the task is marked as complete.
 Task Deleted - To assignee To notify the assignee when the task is deleted by the creator or admins or account admins.


Account related Notifications (General) What it is used for
Activation
To notify an employee, when his/her account is created.
Password Reset Instructions
To send out a password reset link to the employee requested.
New employee added
To notify admin user(s), when an employee is newly added to your Freshteam account.
Employee privilege changed
To notify admin user(s), when an employee privilege is changed.
New IP Configured
To notify admin user(s), when there is a change in the IP range white-listing configuration.
