The Time-off approval workflow is a straightforward and transparent process within Freshteam. Once you have created the Time-off policy, with allocated sick, earned and all other kinds of permissible time-offs, all your employees have to do is apply to leave and wait for your approval.  


To make sure their request is granted only after approval you have to enable the approval process. 


- To do this, go to Settings > Time off setup > Preferences.

Here, click Enable next to Approval for Time off Declaration to enable the approval for all time-off requests. 




Who can approve/decline a Time-off?              

  • Account Admin

  • HR Manager

  • Admin

  • Reporting Manager


Every Reporting Manager gets notified about the Time-offs of the employees reporting to them via email. They can also approve or decline leave requests.


Where to find Pending Time-off Requests? 


1. For Account Admin, Admin and HR Manager


  • Go to Time Off > My Company. 

  • Choose the 'Pending Requests' option (as shown in the image below).




  • Choose the Employee whose request you want to approve or decline from the sidebar. 

  • Approve or decline the request and add any comments if you need to.



2. For Reporting Managers


  • Go to Time off > My Team. 

  • Choose the 'Pending Requests' option (as shown in the image below).






  • Choose the Employee whose request you want to approve or decline from the sidebar. 

  • Approve or decline the request and add any comments if you need to.



Alternative Way for Both Categories


  • Go to the Dashboard.

  • Choose 'Time Off' option (as shown in the image below).




  • On the right side of this page, you will see a tab called “Pending time off request”. 

  • Click 'View all' to view all pending requests from your employees. 

  • You can approve/decline the requests from here.
