Note: The Sprout plan is eligible only for a CSV import, the other two import options are not available. 


Freshteam allows you to bulk import Employee Data and add all employee information in a matter of a few seconds. There are three ways through which you can bulk import your employee data: CSV file, G Suite, and Office 365 Directory. 


To start the import, you can either go to Setting > Employee Information System > Import Employees From > Choose G Suite/Microsoft Office 365/CSV File. 


Or 


You can directly go to the Employee Directory, click ‘Import’ present on the top right corner, a drop-down will appear with the three options, choose the one you wish. 


Let us see how to import using the three different options now: 


Adding employees through a CSV file import:

  • After choosing “File” as your import option you will be taken to this page.


  • Here, if you want to add new employees' information, choose “Upload CSV”. You can use the downloadable template which can be used to populate the columns and upload the file for import.

  • If you want to add more information to existing employee records, choose “Update Existing Employee Records” present in the column in the right pan as seen in the image above.


1. If you choose to add new employees and click on "Upload CSV" and upload your CSV file, Freshteam will check the file for errors if any, if there are errors, a screen will show up like this with the errors listed. You can download the errors and fix it or proceed with them as well. 




Once you click Proceed, your employees will be imported and the following screen will show up. 



- You can add any additional details you want for the employees. 

- Click Save and Send Invite to invite your employees and add them to your Freshteam Account. 


The invite will look like this. Click Send here to send the invite. 




2. If you choose to update employee records in bulk through CSV import, click on it from the right pane or from Settings > Employee Information System > Bulk Update Current Employees > CSV. 



- Once you select it, you will see this screen, choose the update type from the drop-down list, job updates or Salary Changes or Education Information, etc., and choose Upload CSV. 

Freshteam will check for errors and let you proceed or download, fix the error and upload again. 

- Once you complete the process, it will automatically make the changes and take you to the Employee Directory. 



Note: Any error in the import will be mailed as a report to the admin's mail to take further actions. 


Adding employees through G Suite: 

  • After choosing “G Suite” as your import option you will be taken to this page if you have already enabled G Suite integration, else you will be asked to enable it.


  • If you have authorized access, enable it from the integrations page and move to import, if you don’t, please add the Google admin as Freshteam admin to authorize.





  • Once you have authorized, click “Import Employees” to start importing. 

  • Once the import is completed, you can bulk edit the employee information to complete the profiles from a single window.



  • After filling all the details, click “Create Employees”, you will get a confirmation message, click ‘Confirm’ to create your employees.






  • Automated Invite Email can be sent to your employees to access the portal, you can edit it, save it, send it later or save and send it immediately as required.


Adding employees through Office 365 Directory 


  • After choosing “Office 365 Directory” as your import option you will be taken to this page if you have already enabled the integration, else you will be asked to enable it.





  • If you have authorized access, enable it from the integrations page and move to import, if you don’t, please add the Office admin as Freshteam admin to authorize.



  • Once you have authorized, click “Import Employees” to start importing. 

  • Once the import is completed, you can bulk edit the employee information to complete the profiles from a single window.



  • After filling all the details, click “Create Employees”, you will get a confirmation message, click ‘Confirm’ to create your employees.
