NOTE: 
The Sprout plan is eligible only for a CSV import, the other two import options are not available. 


Freshteam allows you to bulk import Employee Data and add all employee information in a matter of a few seconds. There are three ways through which you can bulk import your employee data: CSV file, G Suite, and Office 365 Directory. 


To start the import, you can either go to Setting > Employee Information System > Import Employees From > Choose G Suite/Microsoft Office 365/File. 


Or 


You can directly go to the Employee Directory, click ‘Import’ present on the top right corner, a drop-down will appear with the three options, choose the one you wish. 


Let us see how to import using the three different options now: 


Adding employees through a CSV file import:

  • After choosing “File” as your import option you will be taken to this page.



  • Here, if you want to add new employees' information, choose “Create New Employee Records”. If you want to add more information to existing employee records, choose “Update Existing Employee Records”.  

  • For existing employees, select the data to be imported that is Current or Historical information. 

  • Under update existing employee records, choose if you want to add the information only for the employee who does not have it or if you want to replace the information for all employees by selecting the suitable radio button.



  •  Choose the CSV file from your local machine, upload it and start importing employees. 

Note: Please format your CSV as in the attached sample CSV file. You can find a minimalistic and a full-blown version.

  • Once you initiate the import, the imported employees will receive an activation email. All the imported users will be associated with the "Employee" role by default.

  • Employees can activate their Freshteam account and set up their profiles.

  • Import status will be emailed to the initiator separately. 

  • You can choose to change the associated roles for employees either individually or in bulk mode after the import is complete.


Adding employees through G Suite: 

  • After choosing “G Suite” as your import option you will be taken to this page if you have already enabled G Suite integration, else you will be asked to enable it.


  • If you have authorized access, enable it from the integrations page and move to import, if you don’t, please add the Google admin as Freshteam admin to authorize.





  • Once you have authorized, click “Import Employees” to start importing. 

  • Once the import is completed, you can bulk edit the employee information to complete the profiles from a single window.



  • After filling all the details, click “Create Employees”, you will get a confirmation message, click ‘Confirm’ to create your employees.






  • Automated Invite Email can be sent to your employees to access the portal, you can edit it, save it, send it later or save and send it immediately as required.


Adding employees through Office 365 Directory 


  • After choosing “Office 365 Directory” as your import option you will be taken to this page if you have already enabled the integration, else you will be asked to enable it.





  • If you have authorized access, enable it from the integrations page and move to import, if you don’t, please add the Office admin as Freshteam admin to authorize.



  • Once you have authorized, click “Import Employees” to start importing. 

  • Once the import is completed, you can bulk edit the employee information to complete the profiles from a single window.



  • After filling all the details, click “Create Employees”, you will get a confirmation message, click ‘Confirm’ to create your employees.



  • Automated Invite Email can be sent to your employees to access the portal, you can edit it, save it, send it later or save and send it immediately as required.
